Retrofit Day of Action (RDA)

The Community Retrofit Day of Action (RDA) is an award-winning, ‘plug & play’, community engagement, advocacy, and leader activation program. Planned and operated by partner organizations, 20 harvest teams of six (a captain, data manager, energy assessor and three product handlers) canvass an assigned area of responsibility to deliver direct-to-door efficiency investment packages while performing a full water kit and lighting retrofit (including up to 25 bulbs) during this 5.5-hour ecological immersion, service-learning opportunity. In addition, the harvest teams conduct baseline energy assessments and share with eligible and/or qualifying recipients Awareness 2 Action and product disposal literature packages. While the harvest teams are delivering said efficiency investment packages the recipient is invited to complete an impact profile and environmental awareness survey.

Following a 90-day adjustment period, volunteers reconnect with recipients, via telephone, to determine monetary savings and to provide additional green solutions supplied by Fund partners. This follow-up also allows for LRAM staff or volunteers to ensure the integrity of the efficiency investment packages and further increase awareness of energy saving options.

Replicating the RDA Model

In order to successfully assess, coordinate, plan, execute then evaluate a RDA the following central phases were developed. They are as follows:

Scoping Segment

Scoping and PLAYBOOK Development: Proposal Formation, Partnership Alignment and Impacts

  • a. The PLAYBOOK: This is a MS EXCEL project management work plan used for the entire RDA planning process.
  • b. Key Areas: RDA Leadership Task Development; RDA Objectives and Goals Development; Resource and Funding Assessment; RDA Objectives and Goals; Title Sponsors; Date of RDA; Proposed Staging Location Area; Target Community to Deliver Services; Type of Community.

Pre-Event Planning Segment

Project Management; PLAYBOOK Implementation: Community Engagement and Volunteer Recruitment

LRAM partners begin reaching out to homeowners and renters 20-45 days ahead of scheduled RDA. The LRAM Fund partners will explain the process and benefits to the recipients and prepare them to welcome LRAM volunteers into their homes for the RDA.

  • c. The Scheduler System: Proper data collection and reporting is managed through the Fund’s ‘Scheduler’ a customized on-line database management system designed to produce accurate reports that include energy and water savings, demographic information, number and types of households served, schedule and manage appointments and more
  • d. Key Areas: Community Engagement and direct involvement of Partnering Neighborhood Associations; Operations and Logistics; Volunteer Recruitment and Management; Event Marketing, Media and Press Outreach; Rally/Press Conference Coordination; Food and Refreshments Coordination; Week-Before Boots-on-Ground Canvassing; and Staging Location Preparation

Supervisor Training and On-Site Operations

  • e. On-Site Operations: The Fund places a premium on the successful execution and daily management of team operations, including project orientation, development, supervision, on-site project instruction and project oversight. Fund supervisory levels consist of Team Captains (eight direct supervisors and alternates assigned to teams of up to 6 volunteers), RDA Site Managers (three staff to oversee teams at a given worksite of up to 200 volunteers), and the RDA Event Director (one staff person to oversee entire RDA operations.)

    5. Phase Five: Interviews, Evaluations and Clean Up Harvest Teams Return

Follow Up Segment

HEIDI REPORT: The Heightened Environmental Intelligence™ Debriefing & Ecological Impact Report (HEIDI REPORT) is a PLAYBOOK-generated dashboard report which aggregates over 83-indicators to be shared with volunteers, sponsors as “report back” after each RDA.

Staffing

Each one of our LRAM satellite program or program site partners (PSP) is staffed with one Site Manager, one Volunteer and Outreach Coordinator and Energy Specialists. 50% of our youth Energy Specialist are over the age of 18, so that at all times during a ‘Home Visit,’ one of the team members is a legal adult.

Site Manager

The Site Manager is responsible for the overall administration of all aspects of the LRAM program at a satellite site office, the management and supervision of all youth employees at their site, and ensuring that all program deliverables are met for that site.

Volunteer & Outreach Coordinator

The Outreach Coordinator is responsible for managing and implementing city specific full-scale outreach campaigns for their assigned LRAM site office. The outreach campaign should include outreach to all LRAM target audiences including but not limited to; neighborhood canvassing, community and neighborhood groups, property management and apartment rental companies. The goal of the Outreach Coordinator is to reach out to single-family and multi-family homeowners and renters and introduce, solicit, and secure LRAM appointments for their site.

Energy Specialist

The Energy Specialist job involves visiting houses in the community (by scheduled appointment) and helping residents save energy by: doing a comprehensive energy audit of the home; replacing incandescent light bulbs for energy efficient CFLs (Compact Fluorescent Lights); installing clotheslines and providing other information on how to save energy. Youth work in pairs and visit 3-6 appointments per day depending on location.

Selection Process for Site Managers & Outreach Coordinators

Qualified applicants participate in an intensive and dynamic scenario based interview process that includes:

  • A first round group project based interview that assesses for core competencies, ability to work in a team and presentation skills
  • The second round of interviews is also group based, but focuses on questions directly related to the specific job duties. The questions in this round assess how applicants work in pairs as well as their critical thinking, prioritization, organizational and decision making skills
  • Both positions require a great deal of responsibility and applicants must be highly self-motivated
  • We require a background check on all management staff
  • We require staff to have a car, valid drivers license and insurance for safety reasons
